Wine in the Woods, one of the largest wine festivals on the east coast, attracts between 20,000 to 30,000 visitors annually.  450 to 500 volunteers are necessary to run this event efficiently.

Ann Combs, Manager, Volunteers & Special Projects for Howard County Recreation and Parks has managed the volunteers for over 12 years.  The event is hosted on the third weekend in May on Saturday and Sunday.  In previous years, Ann has been required to spend 5 hours daily in April and 6 hours daily in May to register volunteers, move volunteers to positions, answer questions, create spreadsheets for group emails and more.

This year Howard County Recreation and Parks used VoMaSmart online registration and management tool.  Ann has received at most, three phone calls a week.  450 volunteers have registered with only 13 requests for online support which were handled by VoMaSmart customer service. She was able to create group emails in 10 minutes and download spreadsheets in 5 minutes.

Ann Combs saved 270 hours this year. The monetary value to HCRP was between $11,000 and $12,000.   The value doubles when you consider the other projects Ann Combs and her assistant were able to complete during that same period of time.  Extended Value – $22,000 to $24,000.

Volunteers were surveyed after the event and all volunteers liked the program.  “Next year we will start advertising the VolunteerBuz contest, sponsor prizes and raffle for all volunteers in February.  The volunteers have to show up to win – this will help in attracting more volunteers, retention and show ups.”

When asked, Ann stated “I would pay $100,000” for this program, it made my life so much easier.

VoMa helped the Washington West Film Festival manage our 100 volunteers this year.
We are a nonprofit prestigious film festival in our fourth year. Every year we grow more and more but our volunteer staff’s size does not grow enough to keep up with the rate of the festival’s growth. As the Volunteer Coordinator and Venue Manager, having to manage the growing number of festival volunteers has become a monster task.

When hearing about VomaSmart from our Operations Director, I did not hesitate to give it a try. This service has proven to be an incredible time- and energy-saver. The work that took me over 250 hours to complete last year only took about 100 hours this year with more volunteers and events. This promises to be lessened significantly next year because the initial setups were performed this year.

Our volunteer structure was unique to VoMa so they had to make many major accommodations to fit our needs. The VoMa staff and management responded to innumerable requests within the hour. When more time was needed, they explained the process and gave a time estimate. In total, they took care of our needs faster and more personally than any other business entity I’ve ever encountered. I never felt like a client with VoMa. They make me feel like a first class friend. I highly recommend them to anyone who has to manage a significant number of volunteers.
